Overview

Assistant Manager, Facility Management supports the effective functioning of the Facilities Maintenance, Repairs and Lease Management sections within the organization to provide an efficient and safe working environment for the employees and their activities by using best business practices to manage resources, services and processes to meet the needs of the organization. The role also assists in planning and maintaining systems, assessing inventory and procedures for operating efficiency.

Responsibilities

General Services

  • Manage office & warehouse supplies, maintain office equipment, office maintenance, order business card
  • Establish and maintain superior client service practices.
  • Develop and manage annual operating and capital expense budgets.
  • Coordinate facility operations in a manner which protects, maintains and improves the value of the client’s assets.
  • Ensure all site management and operations practices are in compliance with company and client standards.
  • Perform monthly reporting, forecasting and asset management duties.
  • Implement preventive, ongoing and anticipated maintenance/repair programs.
  • Support multi-year capital improvement project plans and manage the process to complete the capital projects

Facility Management

  • To plan, develop and maintain a dynamic work environment including dealing with contractors of preventative maintenance for HVAC and other building equipment such as Dock and Doors, and Vendor Management,
  • Liaise with real estate representatives and property managers, space management, coordinate security with security contractor and manage construction projects.

Company Asset Management

  • Plan annual budget, purchasing, disposal, F/A system updates, and physical reconciliation. Fixed assets include categories such as computer equipment, warehouse equipment, SVC equipment, office equipment and leasehold improvement, and company cell phone

Qualifications

  • 5+ years of relevant FM experience
  • FMP certification is an asset (IFMA)
  • Knowledge of legislation and relevant procedures, fire and safety, preventive maintenance, and housekeeping
  • Demonstrated problem solving, time management and judgement skills.
  • Effective negotiation skills
  • Excel, PowerPoint, Word, Visio
